Executive Assistant
Westman Immigrant Services (WIS) is a non-profit registered charity organization serving newcomers in the Western Manitoba region. With a vision of creating a generational impact for clients, our staff and our community. We liaise with community groups and organizations to work towards building capacity in our community for improving services to immigrants and refugees.
Overview:
We are currently hiring for an Executive Assistant. Working from the WIS offices in Brandon, an Executive Assistant is responsible for liaising with internal and external stakeholders to proactively provide professional administrative and operational support to CEO and members of the governing board.
Responsibilities:
- Be professional, courteous, engaging and supportive towards internal and external stakeholders in-person and via other communication channels i.e. phone, emails, web support etc.
- Exercise a high degree of communication competence on a priority based, timely and appropriate manner to support the CEO in managing calendars, booking appointments, coordinating meetings, forwarding calls, handling of incoming mail and preparation of outgoing correspondence etc.
- Support the CEO and members of the governing board with day-to-day administrative and operational assistance including response to enquires, internal/external project management, travel arrangements, expense claims and organizing events etc.
- Provide quality research, reporting, minutes, agendas, summaries, statistics and other documentation as required by the CEO and members of the governing board
- Confidential administration of data by maintaining accuracy in entry, timeliness of updates and efficient organization systems to enable on-demand search, retrieval, development and presentation of information
- Liaise with internal and external stakeholders for management support including assistance with programming, facilities, infrastructure and development initiatives etc.
- Identify and support opportunities for improvements including measures to introduce cost-efficiency, waste reduction, automation, technology in the workplace, efficiency building and process redevelopment
- Maintain an in-depth understanding of services provided, resources, individual roles and responsibilities of WIS employees to allow for effective communication, referrals and partnerships
- Personnel administration i.e. scheduling, attendance, training, coaching etc.
- Create an inspiring, engaging and collaborative atmosphere within teams and other WIS departments to achieve collective goals and deliver quality service to clients
- Provide management with operational support as required
Skill, Ability and Licensing Requirements:
- Professional, friendly and diplomatic personality with exceptional interpersonal skills
- Experience in areas of customer service, relationship building, networking, communication, community engagement, social media management and public relations; an asset
- Advanced understanding and experience with Microsoft Office, database programs, WordPress, design, communication, social media including LinkedIn, and related IT tools
- Ability to take direction, work independently and as part of a team
- Strong proficiency and ability to communicate in English
- Provide a clear Criminal Record, Adult Abuse Registry Check and Driver Abstract; where required
- Possess a valid Manitoba Driver's Licence and access to reliable transportation
- Ability to work collaboratively with management, employees, and community stakeholders in a diverse environment
